You can send email directly inside Versa. To ensure your email gets delivered and not ending up in your recipient's spam folder, Versa uses the following rules when sending email.
- You should first make sure your company's domain name (domain name is @company.com part of your email address) is set up to authorize Versa to send email on your behalf. This is called Domain Authentication. You will be prompted to set it up every time you email a document inside Versa. This involves adding some entries in your DNS server for your domain. If you do not know how to do that, please contact support.
- Once domain authentication is set up, you should set up the default reply to email address for various document such as Sales Order, Quote, Purchase Order, Sales Invoice, RMA order in Setup, Feature Settings, Emailing. This ensure that the right person in your company gets the replies once the recipient replies to one of the emails you send. After this is set up, the from email for outgoing email will be the reply to email here. If this is not set, then the current user's email is used as as the from address.
- If domain authentication is not setup, the system will use an email address that ends at @app.versaclouderp.com. The first part of the email will be the current user's email and with @ replaced with dash. So if the user's email is bob @ company.com, the from email will be bob-company@app.versaclouderp.com . This ensures that the recipient will get your email and the email is not flagged as spam. The reply to email will be set to either the default reply to email under Setup, Feature Settings, Emailing or the current user's email. When the recipient replies to the email, usually the reply to address is used to send the reply back. In case any recipient replies to the @app.versaclouderp.com email address, we will forward you a copy of the emai.
