Sub-Account for Special Accounts
Versa Cloud ERP uses sub-accounts under key GL accounts (AR, AP, Inventory Asset) to:
- Provide detailed tracking per customer, supplier, and product.
- Maintain strong links between operational documents (invoices, bills, inventory) and GL.
- Ensure accurate and granular reporting.
- Simplify audits and reconciliations.
Overview
When a company first starts using Versa Cloud ERP, it needs to import its opening balances for invoices, bills, and inventory. This process is called Getting Started Loading. Rather than posting numbers directly to GL accounts, Versa ensures accounting integrity by tying all financial entries to real business documents and structured sub-accounts. This approach preserves the relationship between subledger and GL totals and supports auditability from Day 1.
Step 1: Loading Customer Invoices (Accounts Receivable)
Users do not post journal entries directly to the Accounts Receivable (AR) GL account. Instead:
- Each open invoice is imported as a document.
- Versa posts:
- Debit to the customer’s sub-account under Accounts Receivable.
- Credit to the main Accounts Receivable account.
Result:
- Each customer's balance appears correctly in their sub-account.
- The net effect on the overall Accounts Receivable account is zero (for now).
Step 2: Loading Supplier Bills (Accounts Payable)
The same structure applies to open supplier bills:
- Each bill is imported.
- Versa posts:
- Credit to the supplier’s sub-account under Accounts Payable.
- Debit to the main Accounts Payable account.
Result:
- Each supplier's balance appears correctly in their sub-account.
- The net effect on the overall Accounts Payable account is zero.
Step 3: Loading Opening Inventory (Inventory Asset)
- Each product has a dedicated sub-account under the Inventory Asset main GL account.
- When importing opening inventory:
- Debit the product’s sub-account.
- Credit the main Inventory Asset account.
- Users should use the Inventory Quantities and Values Import tool available in the Getting Started section of Versa Cloud ERP to perform this import.
Result:
- Each product's inventory value is correctly posted.
- The net effect on the Inventory Asset account is zero (for now).
Step 4: Why the Main GL Accounts Show Temporary Imbalances
After the above steps:
- The main Accounts Receivable account has a credit balance.
- The main Accounts Payable account has a debit balance.
- The main Inventory Asset account has a credit balance.
These imbalances are temporary and are resolved in the next step.
Step 5: Importing Trial Balance
The final step is to import your Trial Balance, which brings the general ledger into its true opening position.
Typical entries include:
- Debit the main AR account (to offset earlier credit).
- Credit the main AP account (to offset earlier debit).
- Debit the main Inventory Asset account (to offset earlier credit).
Result:
- The main AR, AP, and Inventory Asset accounts return to zero balance.
- Sub-accounts under each (customer, supplier, product) hold the correct values.
Why This Special Handling Is Only for Getting Started
The use of main-account reversals (e.g., crediting AR when importing invoices) is only done during Getting Started Loading. After go-live:
- Regular invoices debit AR (customer sub-account) and credit revenue accounts.
- Regular bills credit AP (supplier sub-account) and debit expense or inventory.
- Inventory movements hit appropriate GL accounts based on transaction type.
This special handling is designed to:
- Avoid double-counting during historical data import.
- Transition cleanly from legacy system balances.
- Establish a consistent, auditable base for all future transactions.

Final State: Main accounts are zero. Sub-accounts carry actual balances. Normal transaction posting begins from a clean, accurate baseline.
