Dimension is a very versatile features in Versa Cloud ERP. It is generally used to create reportable segments on different types of reporting needs but it has also been expanded to support other areas in the application like price list, customer segmentation.
For example, different departments in your company can be set up as dimensions. When you enter bills, you would assign a bill to a department, this way, you can run reports and filtered by a department or departments.
Sales region is another example of a dimension you can create. Assign the sales region dimension to invoices and then you can run reports to see how you are doing in different regions.
Another example is to create multiple price lists with dimensions. Like Gold, Silver, and Bronze. Each product will have a gold, silver, and bronze prices assigned. Each customer will also have a price level assigned. This way, when an order for a customer is placed, the price level assigned to the customer determines which price level (gold, silver, or bronze) is chosen.
It is also common to create projects as a dimension. For each project, you would assign you revenue transitions (invoices, orders, etc.) to a project dimension and assign your expense transitions (bills, POs, etc.) to a project. At the end of the project, you can run a project-level profitable report to see how well you did on a project.
These are just examples of potential usage for dimensions. Depending on your reporting needs, you can create an unlimited number of dimensions to track various aspects of your business.
You can create dimensions in General Ledger, Dimensions. Give your dimension a name and then create the different options in it.
Once a dimension is created, you would need to tell the system where you want to use the dimensions. Do this under General Ledger, Dimension Assignments. The different data types that can have dimensions assigned are listed as rows and your dimensions are listed as columns.
Here are the data types: General Ledger, Bills, Bill Items, Budget, Customers, Dock, Fixed Assets, Invoices, Invoice Adjustments, Invoice Items, Orders, Order Items, Payment Disbursements, Payment Disbursement Lines, Price Policies, Products, BOM Builds, Projects, Quotes, Quote Items, Suppliers, Work Orders.
You would tell the system you want to assign dimensions to each of the data types by checking the corresponding checkboxes. The setting is auto-saved as you check the checkboxes. Once you assign a dimension to a data type, next time you go to edit the record, you would need the dimension option as a new field to select. Make sure you select this field in order to get correct reporting later.
If a dimension is no longer relevant, it can be turned inactive so you would not see it as you enter data but the old data is still there if you ever need it.
