Faire Integration brings Faire wholesale orders into VersaCloud ERP and helps finance reconcile marketplace payouts. Teams can review imported orders, resolve matching issues, and retain a traceable payout record for settlement activity.
Order fulfillment and cash settlement happen across Faire, your warehouse, and your bank. Imported orders show what to fulfill in Versa; a payout file shows what Faire says it paid after fees and adjustments; the bank deposit confirms what actually arrived.
Who can use Faire Integration?
Your firm needs the Faire integration feature, a connected Faire store, and payout import enabled in E-commerce Reconciliation settings. Access to Faire Payouts requires Firm Admin or GL Posting. Integration changes require firm administration access.
Set up the connection
- Open Tools, then Integrations, and connect the Faire store.
- Open Setup, then Feature Settings, and select E-commerce Reconciliation.
- Enable Faire payout import and configure the accounts used for payout payments and fee adjustments before posting.
- Review the connection and imported orders before relying on the integration for live operations.
Before the first live payout, sales or operations should decide who watches imported orders and resolves product or customer mismatches. Finance should know which accounts represent the payment and the marketplace fees, and who obtains the payout file from Faire.
Fulfill imported orders and prepare for settlement
Review each imported order against the Faire order details before normal fulfillment. Confirm the customer, products, quantities, delivery information, and any order exception with the team that owns wholesale sales. Warehouse staff then pick and ship the goods through the approved fulfillment process. Billing should confirm the related invoice before finance attempts to match the order to a payout.
If an order is canceled, returned, or disputed, resolve the customer and warehouse work first, then make sure finance understands the expected effect on the invoice and a later payout. An imported order alone does not show that goods shipped or money was received.
Reconcile a Faire payout
When Faire makes a payout available, finance should obtain its CSV and compare the payout period and total with the marketplace statement. The amount deposited can differ from gross order sales because of fees, adjustments, returns, or other settlement items.
- Review imported Faire orders and resolve product, customer, or order-matching issues.
- Open the General Ledger menu and select Faire Payouts when a payout is ready to reconcile.
- Import the payout CSV.
- Review each line's matched order, invoice, fees, and adjustments.
- Resolve unmatched lines or posting issues before reconciling invoices or posting eligible adjustments.
- Keep the payout record as the audit trail for the marketplace settlement.
After the payout lines are resolved, compare the net settlement with the corresponding bank deposit. Keep the Faire statement and any explanation for an unmatched or adjusted line with your normal reconciliation support. A posted fee or matched invoice does not, by itself, prove that the bank received the payout.
Check the result
The imported orders and invoices should match the business activity, payout lines should be explained, and the net amount should agree with the bank activity or be assigned for follow-up. Finance and the sales owner should both know who is resolving any open order, return, fee, or settlement difference.
If a payout line is not ready
- Orders are not importing: Confirm that the connection is active and review the integration logs or retry queue.
- Payout import is unavailable: Enable Faire payout import in Setup, Feature Settings, E-commerce Reconciliation.
- A payout line is unmatched: Check the Faire order reference, imported order status, and related invoice.
- A fee cannot post: Configure the GL account for that adjustment type and resolve the listed posting issue.
