See an unposted receipt as stock in transit

Use the in-transit quantity when purchasing or planning needs to distinguish goods expected on an open receipt from goods already received. It offers visibility during an inbound handoff. It does not make the goods available for picking, production, or shipment.

Prepare the inbound record

An administrator enables Show Unposted Shipment As in Transit in Settings → Setup → Feature Settings → PO/RMA/Transfer Receipts. The option displays unposted shipment receipt quantity in the inventoried product listing and the product's inventory view. The buyer or receiving team still needs an accurate purchase order and receipt record for the arriving goods.

Use the quantity in a planning decision

1. Review the supplier confirmation, carrier information, or other arrival evidence outside Versa. Record the expected delivery on the relevant purchase order or receipt using your normal purchasing process.
2. Open Products → List Inventoried Products or the product Inventory tab and read Qty P/O in Transit separately from on-hand quantity. If the expected quantity is missing, check whether there is an unposted receipt for the correct product and facility.
3. Compare the expected arrival with open sales orders, work orders, or replenishment plans. Use the arrival information to plan a follow-up, but do not promise fulfillment solely from an unposted amount.
4. At delivery, the receiver counts and inspects what actually arrived, records accepted and rejected quantities, and posts the receipt. Review the product inventory again after posting to confirm that received stock and the earlier in-transit amount are represented in the correct state.
5. If the delivery differs from the plan, tell purchasing or customer service about the change and update the underlying receipt or order records rather than treating the old in-transit quantity as stock.

Check the result

Before posting, the planning view can show an expected inbound quantity. After posting, the accepted quantity is handled as received inventory under the normal stock rules. The two quantities answer different questions: what is expected and what the receiving team has confirmed.
