How to change a sales-order line's fulfillment facility

Sales staff change a line's supplying facility when another warehouse must fulfill it. Coordinate with both warehouses before saving, especially if physical picking has started. Saving can replace or remove the line's current allocation.

Before you start

• Access: You need Sales permission. Your company needs Multiple Warehouses.
• Setting: A Firm Admin enables Allow Assignment of Facility and Allocation by Facility at Order Item under Settings > Setup > Feature Settings > Sales Orders in each relevant entity. Versa will not enable it while Ship Only Allocated Orders is on.
• Where: Open the sales order and the line you need to change.

Change and check the allocation

1. Review ordered, allocated, picked, and shipped quantities. Check available stock and the delivery plan at the proposed facility.
2. Choose Select Facility to Allocate. For each selected facility, enter QTY Taken from [facility]. The total cannot exceed the line's unshipped remainder.
3. Save the line. Allocation for facilities you removed is deleted; leaving all facility quantities blank removes all line allocation. Automatic allocation is off while this setting is on.
4. Reopen the line and confirm the remaining facility quantities. Tell the supplying warehouse what it now owns. If goods must move first, complete a transfer and destination receipt before shipment.

If you can't save or don't see the control

If Versa shows an error, none of your changes to the line are saved.

• Facility control missing: Check Multiple Warehouses, the entity setting, and that this is a sales order.
• Quantity too high: Versa says Quantity fullfilled by facilities cannot be greater than order item quantity. The limit is the unshipped remainder.
• Quantity is zero: Versa says Please allocate a quantity that is bigger than 0 to facility [code].
• Stock is insufficient: Versa says the facility has no inventory or not enough for the required quantity. Correct the quantities and save again.

Changing this line does not reverse a posted shipment or move physical goods.
