Use an export to review current records, analyze them outside Versa, or prepare a supported import. Confirm the entity and record type first. An export is a copy taken at that time; it does not change the records in Versa.
Before you start
- Where: Open Tools > Imports and Exports in the intended entity.
- Access: You need Imports and Exports to open the page. These record exports also require Getting Started.
Export and check the file
- Select the record section you need. Choose an export with existing records; a blank template is for preparing an import. These record exports do not offer a date-range filter.
- Select the export action and follow its delivery method:
- Email address requested: Products, customers, pricing, tariff rates, and forecast generation send the file to the address you enter.
- Sent to your account email: Opportunities go to the signed-in user's email without an address field.
- Immediate download: Export Bills-of-Material, Export Kits, Export Customer Adjustments, and Export Sales Forecast into CSV download the file.
- Retrieve the email or save the download in your approved location. Check headings, row count, sample values, dates, and units against the records you intended to export.
- Share the file only with authorized people. If it will be changed and imported again, agree on the changes and follow the matching import instructions before uploading.
If you don't see what you expect
- An export is unavailable: Check the entity, record section, and required permission with an administrator.
- The file did not arrive: Check the address entered or the signed-in user's mailbox, depending on the export.
- Values look changed in a spreadsheet: Check long numbers and dates before using the file for another import.
For a filtered report rather than record export, run the report and use Download as CSV when available.
