Calendar Feed

A Firm Admin can share selected invoice, bill, and CRM follow-up dates from one entity with colleagues who use a subscribed calendar. The feed helps people plan what to review in Versa. It does not change the source records.

Before you start

• Access: A Firm Admin sets up the feed. Anyone with its private subscription URL can read it, so share the URL only with intended recipients.
• Where: Select the entity, then open Tools > Integrations and choose More Details on the Calendar feed (ICS) card (Integrated once the feed is on). ICS is a calendar subscription format.
• What appears: The feed covers dates from 60 days before today through 180 days ahead. It shows invoice or bill numbers, dates, and amounts, plus overdue invoice and bill totals and a count of overdue follow-ups on today's date, but no customer or supplier names. Follow-up descriptions from users across the entity also appear, so review their wording before sharing the link.

Set up and subscribe

1. Select Enable feed and at least one section: Invoices, Bills, or CRM follow-ups.
2. Select Save. Versa confirms Calendar feed settings saved. If no section was selected, choose one and save again.
3. Copy the subscription URL when it appears. Versa shows it only when the link is first issued or regenerated, not on every save. Keep it in an approved private location until the intended recipients have subscribed.
4. In Google Calendar, Outlook, or another calendar that accepts internet-calendar subscriptions, add the URL as a subscribed calendar. The exact steps depend on that calendar application.
5. Check for an expected date. The calendar shows one all-day summary event for each date with matching items. Open the event to see its details. A date with no matching items has no event. Open the relevant source record in Versa before acting on a reminder.

Change or replace the subscription

Versa rebuilds the feed when settings are saved and refreshes it daily. Your calendar application controls when it fetches the new version, so a paid invoice or completed follow-up can remain visible until both refreshes occur.

If you no longer have the URL or it was shared too widely, select Regenerate URL and Save. The old link stops working immediately. Copy the new URL and replace it in every intended calendar. Turning off Enable feed removes the link and clears the selected sections. Turning it on again issues a new URL that recipients must subscribe to.

If you do not see what you expect

• Feed will not save: If Versa says Select at least one calendar section when the feed is enabled., choose a section and save again.
• URL is not shown: It is shown only when issued or regenerated. Regenerate it, save, and update all intended subscriptions.
• Calendar entry is missing or out of date: Check the entity, selected section, source record, and your calendar application's subscription refresh. Then compare the calendar with the current record in Versa.
