Inventory and sales staff can check where a part is stocked before promising an order, planning a transfer, or investigating a shortage. The facility and unit matter: a company-wide total does not show whether the needed units are available at the location doing the work.
Before you start
- Access: You need Inventory Control Full Access or Inventory Control Read Only. The Products menu is not available to service-only companies.
- Where: Select the entity, then open Products > List Inventoried Products. Each part's facility rows appear below it in the list. Full Access users can also open the part and select its Inventory tab.
Review the quantity
- Search for the part, then find the row for the intended Facility and UOM. A part may have more than one row because facilities or units differ.
- Compare On Hand, Allocated, and Qty Available. Qty Available is On Hand minus Allocated. Select the Allocated number to see its detail when you need to check what has been reserved.
- Check On P/O, On S/O, On Open W/O, and Short for incoming supply and demand. A shortage appears in red under Short. Qty P/O in Transit appears only when the company setting for unposted shipments in transit is enabled. A purchase order is not stock already received.
- If the balance looks wrong, open transaction history through the On Hand heading or Transaction History in the row menu. Compare the recorded movement with a warehouse count before asking the inventory owner to approve an adjustment.
- Compare Qty Available for the chosen facility and UOM with the quantity needed. Record whether the facility has enough stock or needs another action.
Next
Tell the next team which part, facility, unit, and quantity you checked. Confirm the corresponding transfer, receipt, pick, or count with the responsible team.
Review dated availability when needed
With Full Access, open the part's Inventory tab. When Show Inventory Availability Details On Part View is enabled in company settings, the Inventory Availability section shows dated supply and demand by facility. It also separates rows under Not Included in Planning. Use the dates to discuss a possible transfer or replenishment.
If you do not see what you expect
- Part or facility is missing: Check the entity, search term, and facility. Confirm that the product is inventoried.
- Inventory tab is unavailable: Read Only users can inspect the facility rows in the list, but cannot open the part edit page.
- Dated availability is missing: Ask a Firm Admin whether the company setting for availability on the part view is enabled.
- Numbers disagree with the warehouse: Check pending receipts, picks, transfers, and the unit before entering any correction.
