Sales staff add a prospect when a potential customer needs follow-up but is not ready for a customer order. The prospect keeps a name, contact details, and sales ownership together so the next salesperson can continue the conversation.
Before you start
- Access: Your company must have CRM Pipeline, and you need the CRM Pipeline user permission.
- Where: Select the entity, then open Pipeline > Prospects > New Prospect.
- Check first: Search for an existing prospect or customer so the same relationship is not entered twice.
Create the prospect
- Enter Name, Contact Person Given Name, and Contact Person Surname. Add a usable contact method and any other details your team needs.
- Review Sales Agent. It defaults to your own agent when you have one. Change it only if the lead belongs to another owner. Complete any required custom fields.
- Leave Inactive cleared for a prospect the team is actively working. Select Create.
- Confirm the message Prospect created successfully. Versa opens Edit Prospect on the Prospect Details tab. Check the name, contact, and owner. Add contacts or shipping addresses there when needed.
Next
Agree with the owner on the next contact and the information still needed. Keep a record of that handoff according to your team's process.
If you do not see what you expect
- Prospect cannot be saved: Review the required name, contact-person names, and any required custom fields shown on the form.
- Prospect is missing from View Prospects: Check the entity and search term. Inactive prospects do not appear in that list.
- Access is restricted: A sales agent may see You can only open prospects assigned to you. Ask the assigned owner or an administrator to review access before making a duplicate.
