A Firm Admin can add a custom field when a team needs to record information that the standard form does not capture. Agree on its purpose, who will fill it in, and whether it belongs to one entity or every entity before creating it.
Before you start
- Access: You need Firm Admin access.
- Where: Open Settings > Setup > Feature Settings > Custom Fields.
Create a field
- Under Create New Custom Field, choose the Page/Form Name.
- Enter a recognizable Field Name.
- Choose the Data Type. For a text field, choose its Field Type. Other data types set Field Type automatically.
- For the Order form, select the Order Type to show the field on a Purchase Order, Sales Order, or RMA Order. Order Type is not offered to subscription companies.
- Set Enable so the field appears on the form.
- Select Required only when users must provide a value before saving.
- Select Private if the field should be left off printed documents such as invoice PDFs.
- If your company has more than one entity, select For Current Entity Only when the field belongs only to the selected entity. Clearing it makes the field appear in every entity.
- For a select field, add choices under Options.
- Add Default Content only when the same starting value suits new records.
- Select Create Custom Field.
- Confirm Custom Field Created and check that the field is listed as enabled.
Open the relevant form to confirm the field's location. Tell the people who fill in the form where it appears and what information they should enter.
Change select choices
- Review existing records and reports with the process owner before changing choices.
- Open the field from the Custom Fields list.
- Rename a choice only after that review. The rename saves as soon as you confirm it and changes the wording on every record using the choice.
- To remove a choice, delete it from the list and select Update Custom Field. Records that used it lose that choice. A single-choice field then shows a blank value.
- Check a representative existing record to confirm the result of the change.
If you don't see what you expect
- Field is missing: Check Enable, Page/Form Name, Order Type where applicable, and the selected entity.
- Field Name is rejected: Use only letters, numbers, spaces, hyphens, underscores, and parentheses.
- Page/Form Name or Data Type cannot be changed: These choices are locked once the field holds data.
- Field appears in other entities: Check whether For Current Entity Only was cleared.
