Use dimension filters when a report should show activity for a selected department, region, project, or other business area. Confirm that the relevant transactions were assigned those options. A filter cannot include activity that was never assigned to the selected dimension.
Before you start
- Access: You need Reports. Financial Reports and Comparative Financial also require Financial Reports access and are hidden for QuickBooks entities.
- Where: Select the entity and open Reports > View Reports, Reports > Financial Reports, or Reports > Comparative Financial.
- Setup: The entity needs Enable Multi-Dimensional Support and at least one enabled dimension. A custom report must be set up to use dimensions. Financial Reports and Comparative Financial offer only dimensions assigned to GL accounts under GL > Chart of Accounts > Dimension Assignments.
Filter from View Reports
- Choose the report and its required date or other parameters.
- Use Select Dimension Options To Filter to choose the options you want. Select (Deselect All) to clear the choices.
- Select Run Report.
- Compare the totals with the same report without the filter when you need to confirm the effect.
Filter an open report
- In the Dimension Options section, use Choose Dimensions to Filter By.
- Choose the dimension and its options. Within one dimension, any selected option can match. When several dimensions are chosen, each dimension must match.
- On Financial Reports or Comparative Financial, use Choose Dimensions to Expand By only when you want separate columns. Choosing a dimension for expansion removes it from the filter list, and choosing it for filtering removes it from expansion.
- Select the page's Display Report, Display Report Series, or Refresh Report action.
- Check the dates, entity, and resulting totals. Compare with an unfiltered run if the result is unexpectedly small.
A Filtered On: line is shown on trial balance and Comparative Financial results, but not on every report. Consolidated reports have no dimension controls. Ask the owner of an unexpected transaction to check its assigned dimensions before changing a report total.
If you don't see what you expect
- Dimension controls are missing: Check the entity setting, enabled dimensions, report setup, and permissions. Consolidated reports do not offer these controls.
- Dimension is missing from a financial report: Check its GL account assignments.
- Total is unexpectedly small: Check the selected options in each dimension, the report dates, and the same report without the filter.
