Inventory Counts - Offline Snap, Cycle, and Full Inventory Counting
Summary
Add an Inventory Counts workspace for Glory Wheels warehouse users to prepare, perform, sync, review, and post inventory counts. The same scanner-friendly workflow supports ad-hoc Snap Counts, recurring Cycle Counts, and Full Inventory Counts.
Users start from Products > Inventory Tools > Inventory Counts. They choose the entity, facility, count date, and count scope, prepare the count while online, then scan and save counts on a phone, tablet, or desktop-connected barcode scanner. Counts remain on the device when offline and synchronize to Versa once the user is online again. A user reviews variances before any inventory adjustments are posted.
Quantities are always counted in the part stocking unit. The scanner screen must not require a physical keyboard: users can scan a quantity, repeatedly scan an item when that mode is enabled, use large touch adjustments, or tap the displayed quantity to use an on-screen numeric keypad.
Lot-controlled products require the user to scan the lot before entering the quantity. Serialized products use a different flow: each serial is scanned individually and represents one counted unit. When a serial count is finished, expected serials that were not scanned are shown for review and can be written off only after an authorized user approves posting.
Problem and why
Glory Wheels currently creates a weekly count list from the Inventory Quantity On Hand report, exports it to Excel, and records physical counts in Microsoft Teams. This creates manual re-entry work, makes the count difficult to audit, and is awkward in warehouse areas with unreliable Wi-Fi.
This feature gives warehouse staff a fast, scanner-first count process that works on small devices and can safely retain work offline. It also makes the selected count list, scanned quantities, variances, review, and resulting inventory adjustments traceable in Versa.
What changed
- Add Inventory Counts under Products > Inventory Tools for users with Inventory Control Full Access.
- Add an Inventory Count sessions list with options to start, resume, review, post, and create a new count from a completed count.
- Support Snap Count for an ad-hoc selected list.
- Support Cycle Count for a recurring selected subset, such as a category rotation, product field, Part field, or Bin Location area.
- Support Full Inventory Count for the complete active, countable product/part set at one facility.
- Allow product selection by Product Category, Product fields, Part fields, quantity on hand, and supported category-code or part-number patterns.
- Show filtered products as a paginated preview with Add visible products and Add all matching products actions.
- Provide an offline-ready scanner page with large controls, clear sync status, Bin Location support where enabled, and a touch numeric keypad.
- Provide an offline-ready scanner page with large controls, clear sync status, Bin Location support where enabled, and a touch numeric keypad for ordinary and lot-controlled products.
- Require a lot scan before quantity entry for lot-controlled products.
- Reconcile serialized products one serial at a time, showing found, missing, duplicate, and unexpected serials without allowing quantity entry.
- Save offline work on the device until synchronization completes. Counts are not posted directly from offline scanning.
- Provide a review step with expected quantity, counted quantity, variance, warnings, and existing inventory-adjustment posting controls.
- Provide a review step with expected quantity, counted quantity, variance, lot/serial details where applicable, warnings, and existing inventory-adjustment posting controls. Missing expected serials are available for approved write-off during this review/posting step.
The existing Inventory Quantity On Hand report, existing adjustment workflow, and existing product screens remain available.

[VA-10549] - Customer portal as a retail storefront (B2C): anyone can browse, sign up and pay; checkout shipping rules and tax lookup
Customer portal as a retail storefront (B2C): anyone can browse, sign up and pay
Summary
The customer portal used to be a private ordering site for business customers that staff had set up by hand. It can now also work as a public online store for retail buyers:
- Browse: anyone can open the store, see the catalog with retail prices, and find it through search engines. The store can run on the company's own web address (for example shop.yourcompany.com) or on a Versa address (for example www8-acme.versaforecommerce.com).
- Sign up: a visitor who chooses Add to Cart creates their own account. No staff approval is needed.
- Pay: the new buyer pays by card at checkout straight away, without first opening their inbox. Email confirmation comes after payment and unlocks the full account (order history, invoices, saved cards).
Behind the checkout, the portal now prices shipping from rules the company sets (flat rate, price by order amount, free over an amount, live carrier rates and more) and looks up sales tax for the ship-to address before the buyer pays. Every portal can use the shipping and tax work, including classic themes and sites without sign-up.
Everything is switched off by default. Each company turns on what it needs in Portal Settings.
Problem and why
- Most of our customers are wholesalers moving into retail. They wanted consumers and small businesses to buy from the same portal without staff creating each login, and without a separate e-commerce platform.
- The portal could not take an order from a stranger safely. Staff created every customer and login, prices were wholesale, and nothing stopped an unpaid order on the server.
- A retail buyer expects the total, including shipping and tax, before paying. Before this work the portal charged no shipping at checkout and applied default tax codes, so staff had to fix orders after they were placed.
- Search engines could not find the catalog, and the portal lived on an ERP address with internal numbers in it.
Now a company can run a retail store on its own address, take paid orders from new buyers with correct shipping and tax, and keep its business customers on the same portal.
What changed
For visitors and buyers (storefront themes: Market, Studio, Depot)
- Public catalog: with Allow Anonymous View and Show Prices in Catalog for Anonymous Users on, visitors browse without logging in and see retail prices: the same prices a new buyer will pay. A product without a retail price shows Contact us for price (no quantity box, no Add to Cart). A wholesale price is never shown to a retail buyer.
- Clean, searchable addresses: /products/<name>, /categories/<name>, /pages/<name>, with page titles, descriptions, link previews and a sitemap. Old addresses redirect. Private pages (cart, checkout, orders, account) are never indexed or cached.
- Own web address: the company connects shop.yourcompany.com on the Web Address tab. Until then, and always as a backup, the store is at a Versa address <server>-<name>.versaforecommerce.com (for example www8-acme.versaforecommerce.com). Search engines never list the Versa address; once the own address is live, the Versa address forwards to it.
- Sign up: Add to Cart leads to Sign up or log in to buy. The Create your account page asks for name, optional company, email, phone, password and billing address (and a separate shipping address if needed). It offers a correction for a mistyped email domain ("Did you mean …?"). The chosen product is placed in the new cart. The header shows Log in / Sign up.
- Buy before confirming the email: a new buyer can shop, check out and pay at once. Until they confirm, they see only the catalog, their own cart, checkout and the order they just paid. A note says Confirm your email to use your full account.
- Card payment for new buyers: a one-time card form (Pay by card, Pay <amount> Now). The card is never saved. A decline keeps the cart and details. If the payment answer is lost, the buyer is told Please do not pay again, and the payment is settled in the background without a second charge.
- Email confirmation after payment: Please confirm your email address arrives after the order is placed; the link lasts 24 hours and works once. The buyer can fix a mistyped email (Wrong email address? Change it) and ask for a new link. After confirming, Your account is ready is sent and the full account opens.
- Short receipt until confirmed: before the email is confirmed the buyer gets a short receipt (Your receipt for order #N): company, order number, date and amount only, with no PDF, addresses, items or links. This protects the buyer if the email was mistyped.
- Checkout with shipping and tax: checkout runs in four numbered steps: Order Details, Bill-To Address, Ship To Information, Finalize Order. The buyer picks a shipping method for the ship-to address and sees shipping and sales tax in the total before paying.
- Close my account: a signed-in buyer can ask the company to close the account (password confirmation, optional note).
- Emails come from the company: the company's own address once its email domain is authenticated, otherwise a Versa no-reply address in the company's name. Replies go to the company. Each such email ends with the company's contact details.
For company staff
- Portal Settings (menu label renamed from Partner Portal Settings) has new tabs and sections: Self Sign-up, Shipping and Web Address.
- Self Sign-up tab: Allow self sign-up, payment terms for new customers (button Create "Due on receipt"), prices for new customers (Retail price level or standard prices), new-customer defaults (sales rep, default tax, notification email), sign-up page terms and privacy policy, and which address emails come from. A setup check lists anything missing in plain language before sign-up can be switched on.
- Customers who signed up on the portal: filter by waiting for confirmation, paid but not confirmed, confirmed or blocked; search by email or name; Block sign-up / Unblock.
- Portal card payments to look at: card payments whose answer was lost or that need a decision. Actions: Ask the provider again, Complete the order, Release: nothing was charged / Handled by hand (with a reason).
- Portal Settings: Shipping: add, edit, preview and turn shipping methods on or off; see Products without a weight.
- Web Address tab: choose the store's Versa address name, and set up the company's own web address with two DNS records and live status.
- Test Payment Processor: a payment gateway for testing a store without moving money (see the backend section).
Unchanged
- Business customers created by staff keep their logins, prices, terms and the existing checkout.
- Classic themes (Modern, Minimalist and others) are frozen: no sign-up, no visual changes. They do get the shipping and tax checkout when the company sets it up.
- A portal with sign-up off, anonymous view off and no shipping method behaves as before, except that tax is calculated at checkout (see Tax lookup at checkout).
How it works end to end
Company setup (once)
- Setup > Portal > Portal Settings > General Settings: choose a storefront theme (Market, Studio or Depot), turn on Allow Anonymous View and Show Prices in Catalog for Anonymous Users, and set the Default Facility (it is the ship-from address for live carrier rates).
- Payment gateways: an active card gateway in the entity's currency: Authorize.Net for real payments, or the Test Payment Processor while testing.
- Portal Settings > Shipping: add at least one shipping method and tick Offer this method at checkout.
- Portal Settings > Self Sign-up: choose due-on-receipt terms and a retail price level (or standard prices). When the setup check says Setup check passed. Sign-up can be switched on., tick Allow self sign-up and save.
- Portal Settings > Web Address (optional): note the Versa address; set up the own web address and add the two DNS records.
- Tax: if the company uses Avalara or a sales tax table service, it is used automatically. Otherwise customers' default tax codes apply.
Buyer journey
- Open the store address without logging in. Browse categories and products with retail prices.
- Choose Add to Cart on a product, then Sign up on Sign up or log in to buy.
- Fill in Create your account and choose Create account. The product is in the cart.
- Go to checkout. Step 3 shows the shipping methods for the ship-to address with prices; pick one. The total updates with shipping and sales tax.
- Pay with Pay by card. The thank-you page says the order is placed and a confirmation link was sent, with Wrong email address? Change it.
- Receive the short receipt and, separately, Please confirm your email address. Open the link, choose Confirm my email, receive Your account is ready, and land on the paid order with the full account open.

[VA-10567] - Improve large portal catalog loading with periodic availability caching
Portal catalog performance
Summary and problem
Large customer catalogs can take a long time to open Available To Ship Today. Catalog pages also repeated pricing work for product options, and a large embedded banner was downloaded with every page. This change makes catalog loading more efficient while preserving product selection, pricing rules and banner appearance. Catalog quantities show available-to-ship stock, including open demand, on sites with and without customer warehouse assignment.
Availability is prepared every 30 minutes. Confirmed portal orders reduce the displayed stock immediately; changes entered elsewhere in ERP appear after the next successful preparation. Sites that prohibit out-of-stock ordering validate current stock when adding to cart and confirming checkout; buyers may be asked to reduce their quantity. A cold or evicted availability result still requires calculation; timings must be assessed separately for the first and subsequent catalog loads.
Access and prerequisites
- Use an isolated QA site with catalog access enabled and an existing portal account. For a public site, also test the visitor view.
- Open the company's customer portal, log in if required, open Catalog, and select Available To Ship Today in the category list.
- Use products with ordinary stock, product options, customer-specific prices, quantity breaks, tagged prices and expected future receipts. Include sites with customer warehouse assignment enabled and disabled.
- For the banner check, a Firm Admin should configure a supported embedded banner in the site's existing Catalog Message field. Use a disposable QA site for content changes.
- Compare with recorded product IDs, displayed prices and quantities from the same QA data before the change. Record any inventory or pricing changes made between samples.
Catalog and availability
- Open Available To Ship Today, record the displayed products and stock quantities, and navigate to the next page.
- Choose an ordinary category, return to Available To Ship Today, and apply a product search or custom filter.
- Repeat for a customer with an assigned warehouse and a site without warehouse assignment.
- In the authorized QA workflow, change an inventory quantity or create committed demand, then open a fresh catalog request.
Expected: Product selection, price ranges, quantity units and warehouse restrictions agree with the recorded baseline. Stock follows the available-to-ship demand calculation, including on sites without customer warehouse assignment. Each page contains unique products, navigation works, and the next prepared result reflects the ERP inventory change. Confirmed portal orders reduce stock on the next catalog request. Products with no stock must not become available merely because a previous page had stock. An unavailable assigned warehouse retains its existing message and ordering restriction.
Prices and ordering regression
- Compare ordinary prices, customer-specific prices and option price ranges with the baseline.
- Test a buyer with tagged prices, a retail buyer, and a buyer whose product has no eligible price.
- Change a price in QA, open a fresh catalog request, and verify the new price.
- Open product details and the option selector. Add an eligible product to the cart and review its quantity, unit and price.
- Confirm checkout still validates current availability and eligible prices in the authorized QA workflow.
Expected: Prices and rule priorities remain consistent across catalog, product details and cart. Missing-price products retain their existing message and ordering restriction. Fresh requests show price changes. Checkout does not reuse an old catalog quantity or price.
Banner and portal access
- Open the catalog with a supported embedded banner and inspect its appearance on desktop and phone.
- Navigate between catalog pages and reload. If browser developer tools are available, check that the image is loaded separately and can be revalidated without downloading its body again.
- Replace or remove the banner in the disposable site's catalog message, then reload.
- On a site requiring login, log out and request the previous image address in a fresh unauthenticated session.
- Check another company's portal cannot retrieve an image belonging only to this site.
Expected: The banner has the same dimensions and appearance. The saved catalog message remains usable. Replacing content produces a new image address; removed images are unavailable. Image requests follow the same portal/catalog access rules as browsing. A private image is not available after authorization is lost.
Mobile and affected areas
- Verify category navigation, product cards, option selection, pagination and the banner at desktop width and about 390-pixel phone width.
- Regression areas: product details, product option dialog, retail and customer pricing, promotions, cart, checkout, warehouse assignment, catalog message editing and both classic and ecommerce catalog themes.
- Expected: no horizontal overflow, missing content, duplicate cards or browser script errors.
[VA-10571] - Flexible quantity, unit price and amount entry for Bill and Invoice items
Flexible pricing entry for Bill and Invoice items
Users can enter Quantity, Unit Cost (Bills) or Unit Price (Invoices), and Amount in the order that suits their work. Both classic and grid editors calculate the related values and save the line without making the user clear a conflicting field. The last pricing field changed determines the calculation.
Problem and benefit
A common entry such as Quantity 1 and Amount 100 could fail with a confusing request for a unit price or an instruction to clear Amount. Users had to understand which fields the application expected to be zero. They also risked changing an exact supplier or customer amount when dividing it into a rounded unit price.
This feature makes ordinary line entry more forgiving and consistent across Accounts Payable and Accounts Receivable. An entered Amount remains exact when saved, reopened and saved again.
User-visible behavior
- Enter or change Amount: calculate the displayed Unit Cost or Unit Price from Quantity while retaining the entered Amount.
- Change Quantity or Unit Cost/Unit Price: calculate Amount using those values.
- Enter Amount with Quantity blank or zero, then add the first Quantity: retain Amount and calculate the unit value.
- Clearing Quantity while typing its replacement keeps the existing unit value until the new quantity is entered.
- All three fields may contain values. The user does not need to clear one before saving.
- Quantity 3 and Amount 100.00 display a unit value of 33.333333 while the saved Amount remains exactly 100.00.
- Large quantities also retain the exact Amount. Quantity 999999 and Amount 123.45 must remain 123.45 after save and reopen.
- Amount-only expenses and credits remain supported. Invoice returns retain their negative quantities.
- Posted Invoice line forms remain read-only.
- Amount is before discounts and taxes. Existing linked-source quantity locks, remaining-order limits and editing permissions continue to apply.
- Invoice pricing policies that lock Unit Price also lock Amount. A delayed automatic price lookup cannot replace a later manual amount edit.
- Invoice Base Unit Pricing and existing Cost/Markup or Margin controls continue to work with the synchronized pricing fields.
Access and prerequisites
| Item | Details |
|---|---|
| Bills | Open Bills and create or edit a draft Bill. Use a role with Bill Entry access. |
| Invoices | Open Invoices and create or edit a draft Invoice. Use a role with Invoice Entry access. |
| Editor modes | Repeat QA with Grid Style Line Item Editor enabled and disabled in user preferences. |
| Invoice Amount | Use the existing invoice Amount display setting. On narrower grid layouts, expand Details and open Main to reach Amount. |
| Test data | Use an ordinary product/service or a GL-account-only line. Use an appropriate unit for fractional quantities. |
[VA-10572] - Customer Listing: optional AR balance in entity home currency
Customer Listing: AR Balance
Summary and purpose
Customer Listing can show current accounts receivable (AR) balances so users can compare amounts without opening each customer. The column identifies the selected entity's home currency and supports numeric sorting. It is off by default because calculating balances can slow the listing.
Access and prerequisites
Sign in and select an entity. A Firm Admin enables Show AR Balance on Customer Listing under UI/Feature Settings > Customers and saves. Open Customers > View Customers (Customers > List in the classic menu). Existing customer-list permissions apply: Customers or Accounts Receivable Full Access.
Prepare customers with unpaid posted invoices, partial payments, credit balances and no activity. Include a foreign-currency customer and, where enabled, a customer shared across entities with different balances in each entity.
User-visible changes
- Show AR Balance on Customer Listing is off by default. When off, balances are neither displayed nor calculated for the list.
- AR Balance appears before the row actions, with the entity currency code in its heading.
- Values use the entity home currency, even if the customer's default currency differs.
- Customers without an AR balance show zero. Credit balances use the usual negative currency format.
[VA-10574] - Keep financial reports compact and centred on wide screens
Summary
Financial reports now stay compact and centered on wide screens. Account names and amounts remain close together, while additional periods or dimensions expand the table naturally. The report title, dates and Print/Export actions stay aligned with the report.
Problem and purpose
Reports with only a few columns previously stretched across the browser, leaving large gaps between account names and figures. A compact report placed against the left edge then left all unused space on the right. Centering the content-sized report makes the page more balanced without spreading the figures apart.
What changed
- Financial statement and Trial Balance results use the width needed by their columns, up to the available page width.
- Results are centered within the main content area.
- Account names retain room for indentation and longer labels. Amounts remain right-aligned with consistent minimum widths.
- Comparative periods and dimension options add columns naturally.
- On narrow screens, wide tables scroll within the report rather than widening the page.
- Operational and custom Liquid reports retain their existing layout. Report calculations, drill-down links and export actions are unchanged. The new layout rules apply to screen display only.
How to access
- Log in with permission to view Financial Reports.
- Select the entity to report on.
- Open Reports, then Financial Reports.
- Choose Income Statement, Balance Sheet or Trial Balance, select a reporting period, and click Display Report.
- For multiple periods, open Comparative Reports, select the report and comparison periods, and click Display Report.
- For dimension options, use an entity with dimensional reporting enabled and dimensions assigned to General Ledger reporting. In Report Options, choose dimensions to filter or expand by and select their options before displaying the report.
