The line-item grid keeps product, quantity, unit and price fields together in the document's line area. You can edit a line in place and open Details for additional fields.
This guide covers supported orders, invoices, quotes and bills. The screenshots use an example invoice; the available fields and actions depend on the document, your access and your company's settings.
Classic view is being retired. Grid view is becoming the standard line-entry experience. Both views remain available during the transition, and you can switch back to Classic using the steps below. Classic will be retired in an upcoming update. We will announce the retirement date before it is removed.
Add a line | Edit and open Details | Switch back to Classic | Return to Grid
Where to find the grid
Open a supported document from your usual order, invoice, quote or bill list. Create and save the document header if it is new, then work in the line-item area beneath it. The grid does not give you extra permission to edit a posted, locked or otherwise restricted document.
Select a screenshot to view it at full size.
A saved line stays in the document's grid so you can review its values alongside the other lines.
Add a line
- Select Add Line. If an empty entry row is already open, you can use that row.
- In Product, type to search and select the product or service. Check the description that appears.
- Enter Qty, check the unit and enter or review the unit price or cost. Bills use cost fields; sales documents use price fields.
- Open Details if you need additional fields, such as an account, tax selection, dimensions or custom fields. Complete any required entries.
- Select Save. Check the saved line and the updated document totals before continuing.
Saving a line and updating the document header are separate actions. Save header changes with the header's own action. Saving a line does not post the document.
Edit an existing line
- Select the line's pencil, or double-click the ordinary content of its row.
- Change the required values.
- Select Save to keep the changes, or Cancel to discard the unsaved edit.
Complete one line at a time. Save or cancel the current edit before moving to another line.
Find additional fields in Details
While editing a line, select its Details arrow to expand the extra controls. Use the tabs shown for that document to find the fields you need. Select the arrow again to collapse the details.
For example, an invoice's Main tab contains additional line information. Other tabs appear when the document and your company's settings support them. If you used a pricing level, dimensions or custom fields in Classic, check the expanded line details in Grid.
If a line cannot be saved, read the message, correct the indicated field and save again. Review your entered values before retrying. If the result of a save is unclear, check whether the line was saved before adding it again.
Switch back to Classic during the transition
Save or cancel your unfinished line before leaving the document. The view preference applies only to you in the selected entity. It does not switch other users' views.
- Check that the correct entity is selected.
- Open your user menu at the top right and select User Preference. You can also choose Account Settings, then User Preferences.
- Find Grid Style Line Item Editor and clear the checkbox.
- Scroll to the bottom and select Update Setting. Check for the Preferences saved confirmation.
- Reopen your document. Its saved lines now use Classic view.
Checkbox cleared: Classic. Checkbox selected: Grid. Remember to select Update Setting after changing it.
Switching views does not remove your saved document lines. If you work in another entity, check the preference there too.
Return to Grid view
Open the same User Preference page, select Grid Style Line Item Editor, then select Update Setting. Reopen the document to use Grid again.
If your screen looks different
- The grid does not appear: check the selected entity and the saved Grid Style Line Item Editor preference, then reopen the document. Some document types retain their existing line-entry view.
- A field is missing: open Details and check its tabs. Field availability also depends on the document, your permissions and company settings.
- You cannot edit a line: check the document's status and your access. Changing views does not unlock restricted records.
- You are entering a draft general ledger transaction: that screen uses the separate Grid Style Draft Transaction Editor preference. The checkbox in this guide is for orders, invoices, quotes and bills.
- You need help: contact Versa Support with the document type, what you were trying to do and the message you saw. Tell Support whether you were using Grid or Classic.
