Reporting gives teams a way to review operational and financial information from Versa in the context of the selected entity. Use reports to answer a specific business question, apply a focused date range or filter, and share the result through your normal review process.
A report shows recorded activity. The person responsible for the process still needs to explain unusual results, agree on any action, and correct the source document when a transaction is wrong.
Who can use reports?
Users need the Reports permission. Individual reports may also depend on the information the user is permitted to view. Select the correct entity before opening a report.
Run a report
Agree on the question before choosing the report. For a monthly review, the owner should also define the period, entity, and measure to compare so different teams do not use different versions of the same number.
- Open Reports from the main navigation.
- Select the report that answers your question, such as an order, inventory, customer, supplier, or financial report.
- Choose a date range and any available filters. Start narrowly when you are investigating a specific issue.
- Run the report and review the results for the selected entity and filter values.
- Use the available export or saved-report options when the result needs to be reviewed outside the screen or repeated later.
Turn results into a review decision
- Give the report owner the selected entity, period, and filters with the result. Include the time or reporting cutoff when it affects interpretation.
- Ask the sales, inventory, purchasing, or finance owner to explain any unexpected item using the underlying order, receipt, invoice, or accounting record.
- Agree whether the result calls for a business action, a source-record correction, or no change. Assign the follow-up to the team that owns that process.
- Run the same report again after a correction when you need to confirm its effect.
For example, an unexpectedly low sales total may reflect the selected entity or date range, an unposted invoice, or a real change in orders. Check those possibilities before treating the report as evidence that sales declined.
Make reports useful in routine reviews
- Record the question a report is meant to answer before choosing filters.
- Use a consistent date range for recurring meetings so changes are comparable.
- Check the entity, date range, and filters before acting on totals.
- Use a report as a starting point for investigation when a value looks unexpected. Review the underlying business documents before making a correction.
If you do not see a report or expected data
- Confirm that you have the Reports permission.
- Confirm the entity, date range, and filters. A report can be empty because the selected criteria exclude the records you expect.
- Ask an administrator whether the report is available to your role or whether a saved version has been shared with you.
