Agree on the return

Confirm eligibility, what the customer will send back, the reason, and the proposed remedy. Do not promise a refund or replacement before the approval and inspection conditions are known.

Authorize and communicate
Owner: Customer service. Input: Approved return request.
Work and decision: Create the RMA and record the return instructions. Use the order history when available and capture the serial or lot details required by your controls. Create the RMA, identify items and any lot or serial details, then give packing and delivery instructions to the customer. A created RMA is authorization to handle a return, not proof that goods have arrived.
Evidence and handoff: RMA and customer communication tell receiving what to expect.

Receive and inspect
Owner: Receiving and responsible reviewer. Input: Physical parcel and RMA.
Work and decision: Receive and inspect the returned goods. Record whether they can be restocked, should be kept separate for further review, are damaged, or need another approved outcome. Identify the returned goods, compare quantity and condition with the request, and decide whether to restock, segregate, or pursue another approved disposition. Keep questionable goods out of saleable stock until that decision.
Evidence and handoff: Recorded receipt and condition evidence go to customer service and inventory.

Decide and issue the remedy
Owner: Customer service and finance. Input: Inspection result and customer agreement.
Work and decision: Use the sales and invoice records for the approved outcome to create the credit, refund, exchange, or replacement. Do not issue both a replacement and a refund unless the approved customer agreement requires both. Approve the credit, refund, exchange, or replacement against the sales and invoice records. Check whether a replacement order or refund is actually due; avoid issuing both unless the agreement calls for both.
Evidence and handoff: Related credit or replacement transaction and customer update document the outcome.

Reconcile stock and money
Owner: Inventory and finance. Input: Approved disposition and posted credit or replacement.
Work and decision: Update inventory and financial records through the normal receipt and invoice process. Reconcile the refund or replacement payment where applicable. Confirm that the actual physical disposition matches inventory records. Apply any credit or refund through the normal payment controls and review remaining customer balance.
Evidence and handoff: Inventory and financial result are traceable to the RMA.

Review connected-channel returns
Owner: E-commerce and finance. Input: Shopify return or exchange information where connected.
Work and decision: For connected Shopify orders, review the imported return and exchange outcome before correcting any inventory or payment difference. Compare imported channel outcome with physical receipt and payment evidence. Resolve a difference before making a second stock correction or refund.
Evidence and handoff: Channel, inventory, and customer payment records agree or have an assigned exception.
Variations and exceptions
If inspection contradicts the expected remedy, return the decision to customer service and agree a revised outcome with the customer. Service repair of a returned serialized unit uses its dedicated RMA service path.
Completion and review
The RMA shows the return reason and recorded outcome. The received quantity, inventory outcome, customer credit or replacement, and any refund can be traced together.
